The Golf Trip Organizer's Playbook

Everything the person running a buddies trip has to do, in the order it happens: before anyone packs, on draft night, during the rounds, and after the last putt. It comes from running our own 16-man Ryder Cup weekend, including the parts that went sideways.

Before the trip

Verify the courses first. Pars, stroke indexes, tees, and ratings drive every handicap stroke all weekend. Check them against the club's own card, not a database. How to verify a course before a trip.

Build the roster and send one invite link. Each player registers himself and enters his own handicap index. The index is snapshotted at the draft, so nobody can quietly change it after the teams are set.

Pick the format for each round and the handicap rule. Best ball, scramble, singles, or alternate shot, and how strokes are worked out. Our default is the raw index difference off the low man, because everyone on the first tee can check it in his head. Formats explained and handicap allowances.

Plan for the odd number. Fifteen players is normal. Add a ghost sixteenth to the draft: whoever drafts the last real player, the other team gets the ghost, and each round the ghost's match is a bye or a sub.

Draft night

Two captains, a coin flip for the first pick, a clock so nobody stalls, and everyone else watching the board. Then each captain sets pairings for every round as an ordered list, and their 1 plays your 1. How to run the draft.

On the trip

Put the board on the clubhouse TV. The score is the trip. A live board where everyone eats and drinks does more for the weekend than anything else you set up. TV board setup.

Keep score the same way in every group. Each group enters its own scores, and one person in the group keeps the card. Corrections happen. Every correction, and every change the organizer makes after the fact, is visible to the whole trip. Silent edits in a trophy competition end friendships.

Have a plan for the guy who cannot play a round. A sub with his own index, or a bye that scores as a half point. Decide before the trip and say it on night one.

After

One person in each group submits the card, and everyone's round is done. The board shows the final, the highlights, and the trophy. Share the board link with the group chat so the result lives somewhere other than a text thread.
